Estimates allow you to quote a customer before work begins. Once a customer accepts an estimate, you can convert it into an invoice with a single click.
Creating an Estimate
- Go to Sales → Estimates and click New Estimate.
- Select the customer and set the estimate date and expiry date.
- Add line items, taxes, and discounts.
- Click Save or Save and Send.
Estimate Statuses

| Draft | Not yet sent to the customer |
| Sent | Emailed to the customer |
| Viewed | Customer has opened the estimate link |
| Expired | Expiry date has passed |
| Declined | Customer declined via the portal |
| Accepted | Customer accepted — ready to convert to invoice |
Customer Acceptance
The customer receives a link to view the estimate online. They can click Accept or Decline directly from the browser — no login required. When accepted, the status updates automatically and you receive an in-app notification.
Converting an Estimate to Invoice
Open an accepted estimate and click Convert to Invoice. AlgoSphere creates a new invoice with all line items pre-populated. You can edit it before sending.
Delete Restriction
By default, AlgoSphere only allows deletion of the most recently created estimate. You can change this under Setup → Settings → Finance.
